SOURCING PROCESS

City Bus Sourcing Built Around a Comparable RFQ

Our work begins with the duty profile rather than a supplier shortlist. CityTransit Desk structures buyer inputs, coordinates candidate outreach, and records open questions while leaving manufacturing, approvals, payment, and import decisions with the responsible parties.

Actions within the sourcing brief

We help document operating requirements, identify candidate original manufacturers, format questions for consistent answers, compare line items, and request specification or inspection evidence. The process can include new buses or used units, but unit-level evidence is required for used vehicles.

Decisions outside our role

We do not certify vehicles, promise registration, act as a dealer, offer finance, or guarantee freight and customs outcomes. Buyers retain responsibility for contractual review and should involve qualified compliance, inspection, logistics, insurance, and import professionals where relevant.

Five controls for a usable supplier response

  1. Freeze the operating brief

Describe route length, grade, road condition, climate, daily operating hours, dwell pattern, passenger flow, accessibility needs, depot constraints, and service environment. An alternative can only be assessed against the same duty assumptions.

  2. Normalize the body and cabin

Require the same overall dimensions, wheelbase, door arrangement, seated and standing basis, wheelchair positions, HVAC scope, luggage requirements, driver area, and interior materials. List acceptable deviations rather than accepting an undefined “equivalent.”

  3. Separate performance bases

Record the powertrain, GVWR, axle ratings, curb-weight assumptions, usable battery capacity where applicable, connector, charging power, range cycle, and route-load assumptions. Maximum family values must not substitute for the quoted configuration.

  4. Itemize the commercial scope

Ask for unit price, options, inspection, documentation, packing, inland haulage, freight, destination services, payment milestones, quotation validity, and exclusions. Compare one currency, quantity, Incoterm, and named destination.

  5. Map every claim to evidence

Request a quotation, exact-model data sheet, drawings, test or regulatory documents where applicable, and an agreed inspection path. For used units, bind VIN, mileage, model year, title status, dated condition images, and inspection findings to each vehicle.

City bus quotation evidence ledger

The ledger records what must match before price is compared; it does not claim that a candidate supplier or model has passed review.
